Admissions Policy
Student acceptance is based on the following order of priorities, as detailed in the Catholic Independent Schools of the Vancouver Archdiocese (CISVA) policy:
Registered Catholics who support Immaculate Conception Parish
Catholics from other parishes
Siblings of non-Catholic Immaculate Conception School students
Non-practicing Catholics and those of other religious backgrounds
As part of the registration process, parents will need to sign a school document that states their agreement to support the school in its policies, activities, religious programs and liturgies.
Siblings of non-Catholic students: While we sincerely hope that we will be able to admit all siblings, please note that the CISVA admissions policy, in keeping with our mission, states that Catholic children will be given priority admittance over siblings of non-Catholic ICS students. We expect to confirm admission of your Kindergarten student to ICS prior to re-registration of your other child(ren), which takes place by February 20, 2024.
Supporting Documents
To enable us to get a full and accurate picture of your child’s educational needs, please provide all documents and information that may be relevant to our assessment for admission into ICS.
All applications will be submitted online. Copies of the following supporting documents must be uploaded with your application. Please ensure that you have them available in PDF (.pdf) format before beginning the online application process – PDF (.pdf) is the only format that can be accepted.
Student’s birth certificate
For students NOT born in Canada, proof of Canadian citizenship (passport) or permanent resident card or record of landing
Student’s baptismal certificate, if applicable
Student’s most recent report card (for applicants entering Grades 1-7)
Proof of Citizenship for both parents regardless of nationality. Please provide one of the following: Birth Certificate, Citizenship Certificate, Permanent Resident Card, Record of Landing, or Passport showing name, date of birth and passport number.
For Indigenous applicants living on reserve, please include a copy of the parents’ and student’s Indigenous Status Card.
For non-Canadian citizens: Documentation of parent’s status in Canada. Please provide one of the following: A Permanent Resident Card, or a Work or a Study Permit with a duration of at least 12 months.
Proof of residency: e.g. utility bill, mortgage document, rental agreement, tax assessment. A driver’s licence is not considered proof of residency.
Application Fee
New Families: A non-refundable application fee of $200 per family is required for new applicants. This amount will be paid via e-transfer to office@icschoolvancouver.com during completion of the application form. Be sure to write the name(s) of (the) student applicant(s) on the message line of the e-transfer.
Returning Families: If you currently have children enrolled in ICS, the application fee is not required when applying to admit an additional child, such as a sibling entering Kindergarten. This fee will be covered by the family re-registration fee that is collected during the re-registration process for your other children.
Application Process
Applications will open on January 15th, 2025 at 7 p.m. and close on January 22nd, 2025.
Once you have submitted the application, uploaded the supporting documents and paid the and application fee (applies only to new families), your application will be reviewed by our school principal and pastor. While every attempt will be made to interview all applicants, depending on the number of applicants, applications may be short-listed for interview.
Applications are not considered complete until the online application form, all supporting documents and the application fee (new families only) are received. Acceptance Notification
If your child is entering Kindergarten, the school will call you to set up an interview to take place in the two to three weeks following the Open House. Your child is asked to attend the interview. Information from the application and interview will be considered by the school and you will be notified about acceptance the week of February 13, 2024.
Families applying for Grades 1-7 will be contacted for an interview if space is available. If space is not immediately available, spots may become available after our school re-registration in February 2025 and you will be contacted accordingly.
If you receive notification of acceptance for your child(ren), a link for electronic registration will be available for immediate completion. For those students who receive an offer of admittance, registration must occur within one week of the offer. If registration is not submitted within this time frame, the spot is no longer guaranteed and may be extended to another family.
Successful applicants will be required to provide a non-refundable two-month tuition deposit upon registration.

In order to complete an Application Form, families will need to create a student registration account using the link below.
You will be asked to create an account by entering an email address and creating a password. Please be sure to make a note of the email address used and password selected because this account will be used to register your child if he/she is offered a spot at ICS.
When you have completed the required fields, an activation email will be sent to the email address used to create the account.
Once the account has been activated, you will be able to go to the log-in screen and use your username (email address) and password to begin the application using the ICS Student Application form. The name of the school and address will be at the top right of the form. Please be sure to select the Application Form, not the Registration Form.
Please note that all fields marked with an asterisk (*) must be completed.
When the form is complete, select the SUBMIT button (top right corner). The form will not be able to be submitted unless all required fields have been completed and supporting documents uploaded.
Once the Submit button has been selected, you will be asked if you would like to download a .pdf copy of the form. We recommend you do this and save it for your records.
